Notion isn't a personal CRM — it's a flexible database tool that many people press into service as one, usually via a free or paid template. If you already pay for Notion for work and want a relationship tracker without learning a new app, that DIY path is genuinely viable for the first 50-100 contacts. The templates (e.g. "Personal CRM" by various creators) are well-designed and Notion's filter/view system is powerful. The cost is that you become the maintainer: schema drift over time, no native mobile capture surface for relationships specifically, no built-in reminders, no AI-drafted apology or birthday messages, no journal pattern. Endearist is what those templates wish they could be at scale: a purpose-built version of the pattern, with all the relationship-specific tooling (Magic Buttons, voice notes, encrypted sync, life-events) the templates can't build.

Where your data lives

Notion: hosted on Notion's US/AWS servers. Notion has SOC 2 / GDPR compliance but is structurally cloud-only — your DIY personal-CRM database lives in their multi-tenant Postgres. Endearist: your device first; sync optional via your cloud (Google Drive, iCloud, WebDAV) or Endearist Cloud (EU-hosted).

How AI is accessed

Notion AI is a $10/seat/month add-on on top of the Plus plan, processed on Notion's servers through OpenAI/Anthropic. It's general-purpose, not relationship-specific (no "draft an apology", no "weekly reach-out suggestion", no "extract life-events from a screenshot"). Endearist's AI is purpose-built for relationships — opt-in, BYOK on-device, or EU-routed Pro Cloud.

What we don't do

We don't have Notion's open-ended database flexibility — you can't add a "favourite tea" column to every contact in 30 seconds the way you can in Notion. We trade that flexibility for purpose-built relationship features (Magic Buttons, voice notes, family share, life events, pets, debts) that no template can build.

When to pick Notion

When Notion is the better fit.

If you already pay for Notion at work, are comfortable with database schemas, and your relationship tracking needs are modest (~50 people, no AI assist, no native mobile capture), the DIY route is genuinely fine. The good templates from creators like Marie Poulin or August Bradley are well-designed. Pick Notion-as-CRM when you don't want another app, you have time to maintain the schema, and your needs don't include voice notes, AI message drafting, encrypted local-first storage, or family sharing built for households. We do the relationship-specific parts purpose-built so you don't have to.

Switching

Coming from Notion?

Export your Notion database to CSV (Database menu → Export → CSV & Files). Endearist imports the CSV directly via Settings → Import → CSV. Map "Name" to contact name, "Email" / "Phone" to their respective fields, and any custom property to a custom field — Endearist supports arbitrary custom fields per contact. The notes column maps to the contact's notes. Birthday / anniversary date columns map to life events. Allow 5-10 minutes for a clean import of 100-200 contacts.
